The privacy notice applies to the information we collect from prospective patients or our patients.

How do we process your personal data?


We comply with our obligations under the GDPR by keeping personal data up to date; by storing and destroying it securely; by not collecting or retaining more data than required; by protecting personal data from loss, misuse, unauthorised access and disclosure and by ensuring that appropriate technical measures are in place to protect personal data. We use your personal data for the purposes set out below:

Personal data


Personal data that is supplied by you is collected when you contact the clinic through email, telephone, and text message. Personal data is collected during the consultation process and each subsequent liaison or visit to the clinic for treatment.

What information do I collect from you?


The patient will always be aware of the type of information collected as it is only supplied directly by the patient. Information will include a name, date of birth, an address, telephone number and email address.

Information will also regard your presenting complaint, symptoms, any medical and lifestyle history. At the initial consultation, consent is sought.

Acupuncturists make notes about diagnosis, case management and supportive recommendations.
Follow-on acupuncture appointments are conducted based on an ongoing review and shared patient and clinician information via dialogue in relation to each specific treatment.

Why do I use your personal data?


Personal data is a professional requirement that facilitates an acupuncture traditional diagnosis, review, monitoring, and treatment management of the complaint or condition. To schedule or reschedule acupuncture appointment(s) not formalised in the clinic and to be able to communicate with you about your treatment management.

To provide a register and maintain a diary to record when clients are treated.

Certain data for example name, address and your date of birth is a requirement to help correctly identify acupuncture patients that may have the same surname to avoid mistakes being made. Moreover, a date of birth is required to help manage a patient's fertility treatment adequately.

In cases of referral, or third party advice this will be served as a recommendation for the patient to contact the person/company direct, or in collaboration, with informed consent, and knowledge as to why referral or third party advice has been initiated.

Data retention


All data is securely held for a period of seven years following your last treatment for professional and legal reasons. After this duration, data will be deleted and your paperwork will be appropriately destroyed. If you have any special requirements about your data please inform Lianne Aquilina the clinical director or the associate acupuncturist treating and managing your case.

Protection of your personal data


Your case notes are all paper based in individualised file form and are kept in a lockable filing cabinet. Some of your personal data (telephone number and/or email) will be automatically stored on the clinic's phone for a short time period, we do not always create a contact unless you become a patient of the clinic which requires ongoing liaison (usually in the case of subfertility rather than pain management). Please bear this in mind when contacting us. Your name and telephone number are used to secure your appointment time, and liase with you accordingly during the treatment process if required. Devices are password protected.

We do not send clinic newsletters or use our patient list for direct marketing purposes. Patients that like to keep in touch with us either join us on Facebook, retain our contact details to make further contact. We are always delighted to hear from our past acupuncture patients, hear their news, help them or their friends and family.
